Processing – any operation or set of operations which is performed on Personal Data or on sets of Personal Data.

We promise to follow the following data protection principles:
- Processing is lawful, fair, transparent. Our Processing activities have lawful grounds. We always consider your rights before Processing Personal Data. We will provide you information regarding Processing upon request.

- Right to lodge a complaint – in the event that we refuse your request under the Rights of Access, we will provide you with a reason as to why. If you are not satisfied with the way your request has been handled please contact us.
- Right for the help of supervisory authority – meaning you have the right for the help of a supervisory authority and the right for other legal remedies such as claiming damages.
- Right to withdraw consent – you have the right withdraw any given consent for Processing of your Personal Data.

Information you have provided us with
When working with clients and when contacted by potential clients we collect data (including sensitive personal data) so that we can a) provide a service and communicate with clients b) communicate with people interested in working with us. We will use/store/delete the information that we collect about you lawfully and in accordance with the General Data Protection Regulation (GDPR) regulations.
This might be your e-mail address, name, home address etc – mainly information that is necessary for delivering you a product/service or to enhance your customer experience with us. We save the information you provide us with in order for you to comment or perform other activities on the website. This information includes, for example, your name and e-mail address.
We collect the information you supply to us through our registration forms, paper session forms, paper diaries and every time you e-mail us.
We will not pass your information to any third parties without prior written permission from you such as in the event of medical emergency. We process personal information collected via for the purposes of keeping up to date an accurate records of client case history.
Everything discussed in sessions is strictly confidential. Elements of cases may be confidentially discussed with a Clinical Supervisor (who observe GDPR regulations) but no personal or potentially identifying personal details will be disclosed.
Health and Social Care Professionals
Any contact relating to clients with other health/social care professionals would only be made with your signed consent. e.g., if we were to write to your GP, we will only do this if you were to sign specific consent.
For the purposes of safeguarding and my Duty of Care, I am obligated by law to inform the relevant authorities if you disclose that you intend to carry out harm to yourself or someone else. I would always aim to discuss this with you prior to contacting anyone.
*If issued with a police warrant or court order for your information, by law I would also have to provide them with your information.
Information automatically collected about you
This includes information that is automatically stored by cookies and other session tools. For example, your IP address etc. This information is used to improve your customer experience. When you use our services or look at the contents of our website, your activities may be logged.

We use your Personal Data in order to:

With your consent we Process your Personal Data for the following purposes:

- for other purposes we have asked your consent for;
We Process your Personal Data in order to fulfil obligation rising from law and/or use your Personal Data for options provided by law. We reserve the right to anonymise Personal Data gathered and to use any such data. We will use data outside the scope of this Policy only when it is anonymised. We save your billing information and other information gathered about you for as long as needed for accounting purposes or other obligations deriving from law, but not longer than 10 years.
We might process your Personal Data for additional purposes that are not mentioned here, but are compatible with the original purpose for which the data was gathered. To do this, we will ensure that:
- the link between purposes, context and nature of Personal Data is suitable for further Processing;
- the further Processing would not harm your interests and

How we secure your data
We do our best to keep your Personal Data safe. We use safe protocols for communication and transferring data (such as HTTPS). We use anonymising and pseudonymising where suitable. We monitor our systems for possible vulnerabilities and attacks.
Even though we try our best we can not guarantee the security of information. However, we promise to notify suitable authorities of data breaches. We will also notify you if there is a threat to your rights or interests. We will do everything we reasonably can to prevent security breaches and to assist authorities should any breaches occur.
What lengths are made to ensure my information is held securely?
- Hardcopy documents – Are all stored in a locked cabinet in a locked room.
- Text messages – My work phone is secured with a pin code.
- Emails – My email account requires a user name and password. Emails will only be kept when relevant to client care/case history in which case they will be kept in accordance with CHNC Policy 10 years, Insurance Policy 5 years.
- Electronic documents – Any electronic documents e.g. A letter to your GP, or an invoice, are password protected and stored on a password protected computer if they contain personal or sensitive information.

What if I want to delete my data?
Under the GDPR you can make a request in writing to me for all your records to be deleted. In this case all your paper records would be shredded with a cross shredding machine and any electronic data such as emails or text messages would be permanently deleted from the devices they are stored on. I would have to save the request for deletion you made but would not save any other data. This may not happen immediately if the CNHC or my insurance insist that I have a legal basis in which to hold your data. In some circumstances my insurance companies legal team may want to verify information I send out.
